Cancellation and refund policy for courses and services
At Reimagine Clinic, our highest priority is providing every client and student with an exceptional, highly personalized experience. To ensure that we can deliver the highest standard of aesthetic care and education, we reserve specific time slots and limited seats exclusively for you. Because last-minute cancellations and no-shows significantly impact our dedicated staff and prevent other eager clients from accessing the services they need, we have established clear, comprehensive guidelines regarding our booking and cancellation procedures. Please review the following policies carefully. We appreciate your understanding and cooperation, as these guidelines allow us to maintain a smooth, efficient, and respectful environment for our entire clinic community.
General Booking and Deposit Policy
At Reimagine Clinic, we strive to provide the highest level of service to every client and student. To ensure our schedule runs smoothly and our staff’s time is respected, the following booking requirements apply:
Mandatory Deposits: Whether you are booking an aesthetic service or enrolling in an educational course, a deposit is always required at the time of booking to secure your spot.
Credit Card on File: It is our mandatory policy to have a valid credit card on file for all clients and students.
Respecting Staff Time: This policy ensures that our dedicated staff and educators are not left with empty gaps in their schedules, allowing us to continue providing top-tier services to everyone.
Non-Refundable Purchases: Please note that all final purchases including individual treatments and packages (such as laser hair removal, lip flips, or skin rejuvenation)—are final sale and non-refundable.
Service Cancellations and No-Shows
We understand that unforeseen circumstances arise, but because your appointment time is reserved exclusively for you, we strictly enforce the following service cancellation policy:
48-Hour Notice Required: If you need to cancel or reschedule your aesthetic service, you must do so at least 48 hours before your scheduled appointment. Treatment deposits are only refundable if this notice is provided.
Last-Minute Cancellations: Cancellations made less than 48 hours before your service will incur an automatic $50 charge to the credit card on file. (Exceptions are only made for documented, serious, and urgent emergencies).
No-Show Policy: If you fail to show up for your scheduled appointment without notifying our clinic, you will automatically forfeit the deposit you paid at the time of booking.
Late Arrivals: Arriving significantly late may cut into your treatment time or result in a forced cancellation, which may be subject to the last-minute cancellation fee.
Course and Student Cancellations
Because educational spots are highly limited, last-minute student cancellations make it nearly impossible for other eager learners to fill the seat. The following policy applies exclusively to our certificate courses and programs:
Formal Written Requests: All course cancellation requests must be submitted in writing via email to info@reimagineclinic.ca or via post to 3554 Avenue Coloniale. Please include your full name, course details, reason for canceling, and request date.
Non-Refundable Training Deposits: Please note that standard training deposits of $300 or $500 are strictly non-refundable to cover administrative and holding costs.
More Than 14 Days Notice: To be eligible for a full refund (minus the non-refundable deposit), your written cancellation request must reach us at least 14 days before the course start date.
13 Days to 48 Hours Notice: Cancellations made within this window will qualify for a partial refund, which includes a return of all fees except the registration/deposit fee.
Under 48 Hours & Non-Attendance: Within 48 hours of the course start time, no refunds will be issued, and the fee becomes a non-refundable purchase. Failure to attend the course without adhering to this policy results in the total forfeiture of all fees paid.
Promotional Exclusions & Refund Processing
We love treating our clients to exclusive offers, including special promotions for birthdays. However, to maintain the highest clinical standards of care, certain rules apply:
Excluded Birthday Services: Due to their highly specialized and medical nature, Injections, Permanent Makeup, Skin Lesion removals, and MeLine Chemical Peels are strictly excluded from birthday discounts or review-based incentives.
Course Refund Processing Time: If your student cancellation qualifies for a refund under our timeframe policies, the refund will be processed within 10 business days from the receipt of your formal written request.
